Auto email filters

When setting up auto emails, the filters determine which of your guests receive the email. The filters are based on different characteristics of the reservation. Here, the ones most often used are explained.

Guest status

Used to target or exclude guests who are currently checked in, already checked out, or guests who have confirmed and are expected to check in sometime in the future.
You can use this filter to send all currently checked in guests a message about flooding due to bad weather, for example.

Channel

Used to target or exclude guests who have booked via a specific channel. This can be an external channel, but also an internal channel such as 'Own website' or 'Owners'.

NOTE: Targeting more than one specific channel cannot be done by adding both as 'Channel is'. Instead, exclude all other channels.

Payment status

Used to target or exclude reservations with a certain payment status.
For example, you can send an email to all reservations that have already paid their bill in full (is / fully paid), or to the reservations that still need to pay (is / payable).

Language

Used to address or exclude guests based on the language indicated in the reservation

Guest group

Used to address or exclude 1 or more guest categories. This can help you make a specific offer to reservations with adolescents, or exclude reservations with pets.

Length of stay

Used to target reservations that stay more or less than X number of nights.
For example, you can send an email to only the guests who stay for just one day, or only the guests with a long stay of several weeks.

Stay period

Used to target reservations that partially or fully match the period groups in your reservation system. This means that you can reach guests who are staying or stayed in a specific period.

Review score

Used to target guests who have left a review. You can send follow-up auto emails for reviews with a certain score using the greater than / equal to / less than signifiers.

Segment / Type group / Type / Object

These filters are used to target reservations based on the booked object, from entire segments to a single object.

  • It is possible to make combinations by, for example, choosing a certain segment, but excluding one of the types that fall under it.

  • Type groups need to be created before they can be selected here. Usually, type groups are created to easily group types with a common characteristic; such as all types that have a key box. Read more: Creating type groups

    In an auto email filter, only one type group can be targeted at the same time.

Booked extra

Used to target or exclude guests that have booked a specific add-on.
Send more information about something they did book, or encourage them to add something they haven’t booked yet.

Booked package

Used to target guests who have booked a specific package.

Coupon code / Discount

Used to target guests who have booked using a specific coupon code or discount.
