Feature update

We’ve launched a new reviews section in BEX CMS. With this new section, you can easily display reviews on any of your website’s pages, in a grid or list view.

Attributes & filters

Site visitors can filter reviews based on multiple attributes like rating, date of stay, language, or the accommodation type.

No more need for custom HTML

This feature introduces native support for displaying and sorting reviews, eliminating the need for custom HTML implementations.

Enhanced management of owner contacts

Owners now have contacts linked to them, including a primary contact, which prepares the system for future features. It is also logged who added, removed, invited, or revoked access for contacts. The 'contact type' column in the 'All' tab of your contacts page indicates whether a contact is a 'channel,' 'owner,' or 'booker.' In the contact itself, a count of cancelled reservations has been added to provide a more complete history.

More flexibility for owner agreements

You now have more flexibility when managing owner agreements. We've updated the agreements page to provide a better overview with new tabs and a search bar. It is also now possible to set an end date directly on an owner agreement, so you no longer need to create a new agreement just to add an end date.

POS improvements

We've improved the Point of Sale module with two key updates. You can now quickly add products to a receipt by scanning their barcodes, making checkout faster and easier. Additionally, we've improved how you find receipts by introducing separate tabs for sales, payments, and register counts.

Enable use of license plates in administration settings

You can now enable the license plate module yourself, through the "Use license plates" setting in Administration Settings - Bookings. Use it with an access control integration for automated access, and to keep track of authorized vehicles on your park.

Employee account security updates

To provide greater transparency, BEX now registers when employee permissions are updated and who made the changes. We also added a column to the organization employee index page to display each employee's login method—whether it's just SSO or also Multi-Factor Authentication (MFA)—to help you manage security policies.

New: Label descriptions

We’ve made it easier to use your labels! You can now add descriptions that appear when someone hovers over the label with their mouse pointer, which helps to keep the label text concise while providing important context. When creating a label, you can test this in the new preview.

Periodic costs in owner profile

It is now easier to manage periodic costs for owners. You can add these costs directly to an owner profile, which helps streamline administration across multiple agreements.

More accurate meter reading settlements

When creating an invoice for an owner in the expected meter reading settlements page, the invoiced period will now correctly match the period between your recorded meter readings. Additionally, you can now use the checkbox to select all items, not just those visible on the current page.

Improved design & navigation for Owners module

We've made updates to the design and navigation across the owners module. Breadcrumbs have been added to help you navigate, and counters have been moved to tab headers for a cleaner look. 'Commission agreements' and 'Owner profiles' also received updates for a clearer and more user-friendly experience, including a search bar, filters, and helpful explanations.

New: Filter by type in statistics

The 'Explorer' in the Statistics module has now been completed with a filter that you can use to specify statistics for one or more of your types. Easily discover how your types compare to each other when viewing datasets or creating reports.

Send data directly from forms into N8N

We've added a new form action that connects your forms directly to the workflow automation tool N8N, allowing you to easily process data from your form submissions.

Default website components enforced

Your site will now always have a default header, footer, theme, and color scheme available. If there is only one default option for these components, it will not be possible to delete it.
Go to themes, color schemes, headers, or footers to check your own default options.

More design system updates

Adding and managing images is now more user-friendly! Check it out for images used in pages, events, image lists, slideshows, images for feeds, types, and sales objects.

For image lists, the indication of where the image list is used was also modernized. Click 'used in' to view the types of application, i.e. footers, image set widgets, and image list widgets.

Deep dive

Cybersecurity is often regarded as a complicated issue, while it is in fact an important part of running your business responsibly. Every day, you log in to your BEX systems. And every day, a secure log-in means you protect your organization and, most importantly, your guests. Let’s dive in.

Log in to your BEX systems

When you log in to your BEX systems, you can decide between using an email address and password or single sign-on (SSO) by Google or Microsoft. It is vital to protect both methods well, preferably with multi-factor authentication (MFA). Your head might be spinning now: What do SSO and MFA even mean?

What is SSO?

SSO, short for single sign-on, allows you to easily log in to several different software systems using one username and password, i.e. your Google or Microsoft account. You can set this up for all employees at your organization. While this allows for ease of use, it is paramount to secure that Google or Microsoft account very well. A password, even a good one, can be hacked.

What is MFA?

In comes multi-factor authentication, or MFA. MFA requires a second step to verify you are who you claim to be, often via your phone. This in addition to the abovementioned email address and password. You can, for example, download an authenticator app like Google Authenticator where you’ll receive a unique time-based code when you sign in. The additional step of confirming your identity with your phone makes your data much more secure. An important benefit, considering you work with a lot of personal data.

Go and set up MFA

If you use an email address and password to log in to BEX, go to your profile and click on ‘Edit’ to set up MFA. If you use single sign-on by Google or Microsoft, you can set up MFA at these external providers.

We’ve also added a new column to employees under your organization settings that shows which employees are using what log-in method. You can now easily see who is signing in securely and who is not. Based on this list, you can help all employees set up MFA and thus tighten your security.

Updated: Expected periodic and utility invoice pages in Owner module

The overview pages for periodic invoices and utility advances have been updated with a new design. Now, there are separate pages for expected periodic invoices and utility advance invoices, offering a clearer and more user-friendly experience.

  • Improved manner of sending invoices in bulk: Sending invoices will now happen in the background. This means work can continue while the invoices are being created.

  • New: You can skip expected periodic invoices for owners in bulk. This makes it easier to manage owner invoices.

  • Enhanced differentiation for credit invoices among expected periodic invoices: Unsent invoices now have a 'concept' badge, and credit invoices contain a direct link to the invoice being credited. This makes the overview more intuitive and simplifies navigation.

New: POS product groups

Product groups have been introduced for Point of Sale (POS) products. This new feature allows for easy categorising and organising of products, making them simpler to manage. It is also possible to control which product groups are visible at specific POS registers, which streamlines the product display. This helps register users to quickly find what they need.

Improved VAT process for booking invoices

The manner in which VAT rates are applied to booking invoices has been updated to better suit financial operations. Now, the VAT rates that are valid on the departure date of the associated booking are applied, regardless of the invoice date. This aligns better with accounting practices that book revenue on the date that services are completed.

As such, you can add future changes to VAT rates, and the correct VAT rate will automatically be applied to bookings that are made (and paid) well in advance of the stay.

Send messages to owners from the Owner module

Sending reception messages to owners has been improved. Easily select one or more owners in your list of owners, and choose to send a reception message to your selection.

Additional auto email filters: Late checkout and arrival or departure day

In the auto-email settings, there are now three additional filter options:

Late check-out possible: Filters for reservations that have a departure day on which no new reservation is arriving.
Arrival day: Send emails to guests arriving on specific days of the week.
Departure day: Send emails to guests departing on specific days of the week.

Tip: Combine the 'Late check-out possible' and 'Departure day' filters to offer late check-outs to guests departing on Sundays.

Add or remove type amenities in bulk

Save time when adding or removing amenities with this new bulk action feature. Efficiently manage types by adding or removing amenities to multiple types at once.

Updated Owner portal

The owner portal dashboard has been refreshed. We enhanced owners’ experience by adding clearer information, icons, and statuses to important sections like messages, statistics, and reservations.

In addition, when an owner is booking a stay for themselves, they will now immediately see their remaining points or any applicable discounts. This helps them plan their own stays and keep track of their available budget and discounts.

Update after pricing is changed through API

The year overview of a price list is now updated after prices are changed through our API.

More relevant email templates

The templates overview now only shows email templates relevant to your administration. That means if an optional module is not used, templates relevant to that module will be hidden.

Better reservation history

A clear history is now visible whenever a reservation is updated or recalculated, making it easier to keep track of changes made to reservations. This provides more insight into past actions and supports daily operations.

New currency: South African Rand (ZAR)

Our supported currencies now include the South African Rand (ZAR). When processing amounts in South African Rand, the appropriate currency sign will be displayed.

New design system = big user interface improvements

We're gradually improving the user interface of all CMS admin pages. We've started migrating pages to our new design system, resulting in a better and more intuitive user experience and design.

Better SEO thanks to updated hreflang tags

All CMS websites are now even better optimised for search engines. For websites offered in multiple languages, we have updated the hreflang tags for different locales to be non-trailing slash instead of trailing. This change improves SEO.

Improved reviews and pricing display in the sales module

More controls have been added to the sales module, making it possible to manage how guest reviews are displayed for sales objects. You can either show or hide a sales object's rating.

Additionally, we've introduced support for a price specification for sales objects. This feature makes it possible to show which elements are part of the total price, each with their own price or indicated as 'inclusive'.

Xero We are excited to announce our new integration with Xero, a popular accounting software. This enhancement allows you to connect with your financial data more seamlessly, simplifying your accounting processes.


Improvements to Booking.com integration

  • Select and customize cancellation policies from a wider range of options when onboarding a property. This offers greater flexibility and control over your booking terms.

  • More control over your content — you can now enable or disable specific content, such as property details and photos, for your properties.

Improvements to Airbnb integration

  • Better support for pet fees: All pet charges will be included in the price.

  • We’ve added the possibility to add house rules to your Airbnb listings, improving the booking experience for the guest.

Multiple hourly rates

We've enhanced the todo functionality by introducing multiple hourly rates. You can now assign different hourly rates to todo lists, which are managed in the Todo costs section. When creating a timesheet, the assigned hourly rate from the todo list will automatically apply.

Redesigned POS register

The Point of Sale (POS) registers have been updated with a new design, making it more user-friendly and visually consistent with the rest of BEX PMS.

Optional license plate input

We've improved the checkout process by adding an optional license plate input field. Customers can now easily provide their license plate details directly when making a booking, saving time and simplifying the booking experience. This feature is available in the portal settings for parks that use the license plate module. Read more: Booking portal settings

Enhanced commission agreements page

We've updated the commission agreement showpage with more comprehensive information, ensuring it's more consistent with the rest of BEX PMS.

Improved filters on various pages!

  • Improved cost filter for invoice items: The cost filter on the invoice items page has been improved. You can now easily search and select from a list to find the desired invoice item.

  • Multi-select filters for key pages: We've improved the filtering experience on the objects, clusters, and agreement pages. Filters on these pages are now all multi-select.

  • Enhanced automatic todo overview: We've updated the automatic todo overviews with extra filters and a new column regarding applicability. More useful information at a glance, and easier access!

Reservation recalculation improvements

We've improved how security deposits are recalculated for reservations. When a reservation is recalculated, new security deposits will be added and existing amounts will now be updated to reflect the current settings.

Order and invoice access for channel bookings

Owners can now be granted access to view orders and invoices for channel bookings, via their owner profile.

Consistent VAT rate application

The applied VAT rate will now always depend on the departure date of the booking, even when accounting mode 'Journalize turnover at the invoice date' is used. This ensures the correct VAT rate is applied in all known cases.

Clear payment batch indication on invoices

We've improved how we display invoices that are part of a payment batch. It is now clearly stated when an invoice is included in a payment batch in order to prevent you from accidentally refunding it twice.

Detailed Payments Export

Our payments export has been updated to include the detailed description for each payment method, making it much clearer to identify and differentiate your transactions.

New auto email filters

We've added new 'Arrival day' and 'Departure day' auto email filters that allow you to set up an auto email for reservations that arrive or depart on a specific day of the week.

Managing type amenities in bulk

We've added a new feature for your types, allowing you to select multiple types and quickly add or remove amenities at once! This improves the management of your properties.

Paying for security deposits via POS

When processing a payment for a reservation at reception, it is now possible to indicate that a payment via a Mollie PIN terminal payment method includes security deposits. The security deposit amount is additionally shown in the 'New payment' page.
