Your costs won’t change - but the settings pages will. We’ve simplified the rather outdated cost pages and their settings to make creating and managing cost items easier and more intuitive. This update will be active in your PMS next week.
When creating a new cost item, you’ll first be asked whether you want to create a mandatory cost item, or an optional add-on. This distinction allows for an easier set-up. You’ll also notice some settings are presented differently; their functionality remains the same.

When creating a new cost item, you still determine a default price and differentiation level. However, the actual price differentiation and subsequent management of cost prices will be accessible separately, for both existing and new cost items. When opening a cost item from the overview, you will see that its price and pricing settings can be viewed and edited independently of the other cost settings.
This will make updating and indexing the prices of costs quicker and easier.

Page update indicator, new Bunny video widget, button widget update, and safeguard for user deletion.
In the settings tab of every page, a read-only 'Last Updated' field now shows the exact date/time a page or its related widgets were last modified. Useful when keeping track of your site updates!
With the new Bunny video widget, videos stored and managed via Bunny.net can easily be added to pages. The widget is very similar to other video widgets, link the correct video by entering the Bunny video IDs.
When configuring the Button widget to link to another page on your own website, you can now click the search icon to easily and quickly find and add the CMS page you want the button to link to.
A new safety check for user deletions shows an alert when attempting to delete an Account Manager or Main User. This is to prevent accidental loss of data or access.

Updates for Airbnb, Booking.com, Hoseasons pricing, Peppol invoices, and new Landal connection.
Airbnb's technical requirements no longer allow multiple price periods for costs. For existing setups where multiple periods were in use, BEX has automatically linked a copy of the cost with only the current price to the channel, ensuring your listings remain compliant and synchronized.
Manually updating pricing directly from the Hoseasons integration app is now possible when a pricing feed is used. You can push price changes to Hoseasons instantly without waiting for the next automated background sync.
There is also a new calculation method that automatically derives five-night and six-night prices from the seven-night price (when enabled). This ensures your pricing strategy remains consistent with Hoseasons' internal standards.
Your Booking.com messages, including welcome notes and neighborhood details, now sync with all available translations. Your guests receive important information in their preferred language, from the moment of booking. If the 'host profile' content synchronization has been enabled, the welcome message now also includes descriptions relating to your Booking.com property.
Tourist tax for Booking.com is now applied as a property charge, meaning that tax is applied the same way for all connected types. Guests also see the improved price breakdown.
A new automatic pricing data synchronization between Booking Experts and the Landal platform ensures consistent and up-to-date pricing across both systems. This eliminates the need for manual price management for Landal users.
Peppol invoices now automatically include comprehensive payment instructions. This update adds the online payment portal URL, IBAN, and BIC directly to the invoice, making it easier for guests and partners to settle balances through their preferred methods.
Peppol invoices also include the specific stay period start and end dates whenever they are available. This addition provides your guests with more comprehensive billing details, for more transparency about stay durations on corporate invoices.
The BigQuery integration has been expanded with a new dimension for subdomain data. Users can now select and sync this specific dimension, providing deeper insights and more granular reporting capabilities for organizations with multiple subdomains.

Soon, managing your integrations will become more intuitive and more accessible from within BEX PMS as a central apps module at the organizational level.
This upcoming redesign will not remove the familiar market stall icon in the navigation bar, but it will take you to a new place: an app store module within the PMS organizational view. This means we’re leaving behind the current, separate environment for integration management.
Don’t worry, the content and settings of your apps will not change, and the app management rights are still restricted to organizational managers and IT managers. When managing an installed app, the command bar will be displayed as a more compact dropdown.
The layout and design of the app store will become in line with the PMS itself, further demonstrating that integration management is truly a part of BEX PMS. Compact app indexes will give you a clear overview of available apps, and your installed apps.

As an added bonus, the app developer experience will also change. Developers get their own app dashboard within the app store module, which Booking Experts will continue to improve after this redesign.

Feature update

An easy and quick way of creating a group booking for large groups of guests is now available. In a single flow, search availability for the total guest group and add multiple reservations to the group booking.
Click the renamed '+Booking' button in your navigation bar, and select 'Group booking'.
When a guest calls to find accommodation for a large number of people, you can confirm your availability in a few seconds. The search results will also show exactly which accommodations are available for the group, along with an indication of the costs.
After creating the group booking, add the booker’s personal data and the guest list can be filled through the guest portal.

Flexible payments, new guest portal, new object page, and improvements for guest lists and todos.
Guests can now make flexible partial payments directly through the payment portal. A new administrative setting allows custom payment amounts, providing guests with more control and improving the overall collection process.
The process for creating payments has been significantly streamlined by merging the 'New Payment' and 'New Payment Request' forms. The system now intelligently determines whether to create a direct payment or a payment request based on the selected method, reducing manual steps for your team.
Exports of invoices now include the specific start and end dates of the invoice period. The exported financial data provides a clear reference for the timeframe each invoice covers, making external reporting and auditing simpler.
To ensure optimal pricing structures for new users, the default starting point for BEX Payments is now reseller rates. This streamlines and simplifies the onboarding process for new administrations, and ensures that the most common and competitive rate structures are applied from the start.
The index page for overdue payment installments has been upgraded to display booking memos as well as invoice memos, with a text balloon icon. This provides the immediate context of booking notes while managing collections, ensuring important information is accessible without navigating away from the financial overview.

The Guest Portal has received a significant overhaul featuring a refreshed UI and a more mobile-friendly design that incorporates your organization's unique branding. Guests now benefit from a clearer booking overview, a dedicated section for payment deadlines, and a checklist for essential check-in tasks like finalizing guest lists and adding license plates.
Everything a guest does within the Guest Portal, such as updating a guest list, adding a license plate, or adjusting order items, is now automatically logged in the reservation history. This created a transparent audit trail of all guest-initiated changes.
The individual object pages have been upgraded to a high-visibility tile structure. View all active settings and object details at a glance, and quickly manage objects without switching to another view.
Partially completed guest details can now be saved to be fully completed at a later time. This is possible both in the back office and the Guest Portal. Additionally, a new alert identifies age mismatches between the provided dates of birth and the guest group, helping to keep guest data accurate for insurance and reporting purposes.

The layout for Booker and Contact forms has been redesigned to improve data entry. Financial fields like VAT and BRN are now logically grouped under financial details, and a new address line has been added to accommodate more complex location data.
Managing operational tasks is now more efficient with improved performance for bulk actions and currency displays for hourly rates. The completed todos page now sorts by the most recent completions, allowing managers to see the latest work status at the top of the list.

ParcVu sales offer, page management, page labels, and better widget reliability.
Van data in ParcVu can now be directly synchronized into CMS sales objects, using the "Sync from ParcVu" feature on the sales objects index page. The "Edit in ParcVu" button on the corresponding edit page creates a more seamless workflow between the two systems.

CMS managers can now delete page urls directly from the Pages index, and are shown a confirmation warning to prevent accidental deletions. The export function for pages has been optimized to complete successfully without timeouts, even for websites with a large number of pages.
You can now add labels to pages, similar to facilities. Use it to better organize and filter content within pages, and structure your website. Different content types can be grouped by label.
The widget that displays articles on your pages can now be set to display only articles with one or more specific labels. If no labels are selected, all available articles will be shown.
The manner in which widgets link to content such as pages and events within BEX CMS has been improved. This prevents display errors if linked content is deleted, so your website layout remains professional and consistently rendered for visitors, even as content changes.
Managing your website content is now more intuitive with better re-ordering capabilities. Use the 'Reorder list' feature to easily drag and drop items within property lists, property specifications, form channel answers, and Search & Book summaries. A custom, desired display order improves both guest and management experiences.

Booking.com group bookings, new payment methods, references for Peppol e-invoicing, and more.
Booking.com group bookings are now fully supported, allowing multiple stays to be managed within a single booking. This update ensures that invoicing is accurate and all stays are properly synchronized. Please note that parks requiring manual owner acceptance will continue to process these as single bookings to maintain existing workflows.
You can now manage a primary as well as an alternative check-in methods for properties within the Booking.com integration app. This improves your check-in instructions, ensuring a smoother arrival experience.
A new custom UK master brand for Vrbo is now available, specifically designed to support Great British Pounds (GBP). This allows parks targeting the UK market to display their listings and manage transactions in the local currency, providing a more native experience for British travelers.
E-invoices sent via Peppol now automatically include the specific booking reference on all relevant documents. For group booking e-invoices, the booking number now includes the unique letter for each individual reservation. This ensures that financial departments and automated accounting systems can immediately link incoming invoices to the correct reservation.
When first installing BEX Payments, the default starting point is now reseller rates. This streamlines the onboarding process for new administrations, and ensures that the most common and competitive rate structures are applied from the start.
Three new payment methods added to BEX Payments: MobilePay, Vipps, and Alma! MobilePay and Vipps are popular Nordic payment solutions and can be configured via your Mollie account and payment method settings. To enable Alma, you only need to update your payment method settings.
The iDeal payment method has been updated to Wero across the platform. Users and guests will now see the new name and logo in all areas where iDeal was previously displayed, reflecting the latest evolution in European payment standards while maintaining the same secure transaction process.
Users can now link multiple administrations to a single accounting journal for a range of accounting apps: ACD, AFAS, Cegid Loop, Datev Cloud, Dynamics 365 Business Central, Inqom, Minox, My Unisoft, Odoo, Pennylane, Sage 100 FR, Tiime, and Xero.
This consolidation simplifies the financial workflow for organizations managing several administrations that need to report into a centralized accounting structure.

Feature update

The reservation page and guest group overview now show alerts when the booked age groups do not match the dates of birth entered in the guest list.
In the reservation page, you’ll see a red dot where the guest group is indicated. In the guest group page of that reservation, a larger alert is shown detailing the mismatch.
A mismatch can occur if a booker makes a mistake when booking or when entering guest details. In addition, it can be the result of a guest belonging in one age group during booking, but in another age group during their stay, due to a birthday in between.
To solve the alert, check the dates of birth entered in the guest list, and make changes to the guest group as needed. If you suspect a mistake was made when entering the dates of birth, contact the booker to make sure.
This is how you prevent further confusion and ensure that the correct guest fees are applied.
Example of an age mismatch:
A reservation is made for two adults and two children. The dates of birth entered for the guest list, however, show that one of those two children is over 18 years of age during the stay. According to the age groups set in your organization settings, this person is considered an adult.
This results in an age mismatch alert.

Guest birthdays, POS returns, accounting for discounts, pool settlements, and more.
To help you provide a more personalized guest experience, a new birthday icon now appears on reservation and booking pages for guests celebrating during their stay. This indicator is also visible next to guest names in the guest list, and a new filter on the index page allows you to quickly identify these special occasions to streamline your hospitality efforts.
The system now reflects financial statuses more accurately by accounting for processing payments and refunds. When a transaction is in progress, the payment status will indicate that no further action is required at that moment, helping you prevent accidental double refunds or premature payment reminders.
You can now process product returns more efficiently in the Point of Sale (POS) system by entering negative quantities. This update allows for flexible refunds even without an original receipt, ensuring better guest service and maintaining accurate inventory records.
The Inbox now displays the specific communication channel, such as Airbnb or Booking.com, directly on the conversation sidebar. This allows your team to immediately identify the source of each guest message and respond with the appropriate context.
You now have greater control over your financial reporting by linking specific ledger accounts to discounts. You can choose to use the default rent ledger account or assign a unique account specifically for discounts, allowing for more granular tracking of your revenue streams.
The system now automatically ensures that the applicable VAT on discounts is journalized correctly. This improvement guarantees that your financial records remain accurate and compliant without manual intervention.
A new organization-level setting allows you to prevent the reopening of closed accounting records for your administrations. This ensures that financial data remains final and consistent, supporting reliable reporting and central oversight.

The process for calculating and invoicing large pool settlements has been significantly improved, reducing processing time and adding more detailed explanations to the interface. New options for pool point calculations and an additional owner profile setting allow you to control what information is shared with owners in their portal.

Owners now have the ability to cancel their own reservations directly through the Owner Portal prior to the arrival date. When a cancellation occurs, the backoffice receives a clear internal message, ensuring consistent communication and full visibility of changes initiated by owners.
To support properties with multiple stakeholders, you can now manually split property income for DAC7 reporting. A new feature on the object listing page allows you to add multiple reportable owners and define specific income percentages for accurate tax compliance.
You can now overwrite the price of a todo-related cost directly on the todo item itself. This allows for immediate modification of expenses as they occur, eliminating the need to wait and edit prices during the invoicing stage.
