Updated booking distribution logic, renewed preference costs, improved todo workflows, and more.
Bookings are now distributed fairly across objects using average daily revenue metrics that only take into account days that the object was actually available for booking. The system prioritizes objects with a lower earning speed. This updated logic ensures new or seasonal accommodations receive equal revenue opportunities alongside established units.
The new structure for preference costs offers more control over how you charge for specific amenities and object selections. You can charge flat or stackable custom fees for preferred amenities, and amenities in objects on the map.
Vrbo as well as Expedia guest communications can now be managed directly within the Inbox. Centralizing guest messages streamlines communication flows and improves response times, with Vrbo and Expedia being the third and fourth booking platforms whose messaging is integrated into the Inbox module.
The reservation order now displays discounts and surcharges directly on item rows. Original prices are shown with a strike-through next to the adjusted total. When adding extras, the price calculation used is shown for clearer understanding.
Edit payment schedules directly within a modern modal without leaving the booking or invoice page. This keeps you in context and eliminates unnecessary navigation across pages. Date formats are now unified to ensure clean data entry.
Organize unassigned todos by object/facility in the todo planner to easily assign todos that are in the same location. Executors can also organize and view all todos for one location in their portal. This grouping improves operational efficiency and reduces redundant trips across the grounds.
Executors can now be given the permission to self-assign todos. That means that in their executor portal, the unassigned and not yet started todos on the connected list can be viewed and started. These actions are recorded in the activity log for operational transparency. Tabs allow executors to easily switch between assigned and unassigned todo overviews.
The payment page that a payment link sent to guests by email leads to, is now streamlined. Guests can select their payment method directly on the main summary screen, without having to navigate multiple steps. The system updates totals dynamically before redirecting to the payment gateway.
This guest status filter can be used to reach bookers who are expected, currently checked-in, or checked-out.
In the organizational view, a new filter in the contacts module isolates contacts that can be safely deleted. These contacts are not connected to any owners, channels, bookings, or invoices.
Review all details and active agreements for any periodic cost on a single page. This view lists every active owner agreement linked to the cost. Managing the application of periodic costs no longer requires searching through individual owner files.

Feature update

We’ve released several updates to improve how you create, manage, and check in group bookings. Here is an overview of what’s new.
When creating a new group booking, you can now filter available objects by segments, types, and amenities to find the right accommodations faster.
You can also assign the booking directly to the correct channel, right from the creation screen. Especially useful if you work with a dedicated channel for group bookings, to more easily discern them in the Planboard.
Customizing cost items for a group no longer requires updating each reservation individually. Use the new order summary on the booking page to apply updates across all associated reservations.
Edit total rent: To change the total rent amount for the entire group booking. The new total will be automatically distributed across all individual reservations; in the same proportions as the original total.
Edit or delete cost items in bulk: Adjust unit prices for specific costs across all reservations, or remove a cost item entirely in one go.
The new searchable reservations list on the booking page lets you locate specific reservations instantly by guest name, object, license plate, stay dates, or reservation number. No more scrolling!
Use the clickable icons to handle quick tasks like updating license plates, managing guest groups, or navigating to todos directly.
Use the Check in all or Check out all buttons to process every reservation in a group booking at once to speed up arrivals and departures.
When it’s time to invoice your group booking, you now have more control over how charges are presented. Go to Administration settings > Templates to edit the invoice template used, and explore the options to:
Group summary line items by invoice item (combining matching items by name and tax rate across the whole group booking) or listing totals strictly per reservation.
Choose to exclude the detailed per-reservation item breakdowns on subsequent pages of the invoice.

SEO page settings, BEX video provider, cookie consent in PMS, and searchable form responses.
When editing pages, the settings that are relevant for SEO are now separated into a dedicated tab. Easily manage titles, meta descriptions, search indexing, and URL overwrites for individual pages.
Booking Experts now defaults to BEX Video when you upload a video to display. The feature name also replaces older references to clarify internal integration solutions.
Cookie consent settings have moved to PMS brand settings, for central management across all connected websites.
The Search & Book widget operates seamlessly with the updated search engine. Search results cleanly display types with fewer than four images without layout distortions from vertical pictures. The engine also tracks list view events for better analytical tracking.
The form response page includes a searchable multi-select dropdown grouped by active status. Filter the replies submitted to your forms across multiple forms at once and search directly inside response fields.
Segments covering sites for very long-term rental, i.e. year sites, are now excluded from synchronization to CMS. This cleans up segment filter lists and type pages are not generated unnecessarily.

The latest releases and improvements to the Booking Experts products
Todos Executor roles now support todo self-assignment — A new 'Self-assign' permission is available for executor roles. When enabled, executors can view all todos within their accessible lists. They can claim unassigned todos by starting them. The executor portal now displays 'Assigned to you,' 'Not assigned,' and 'All' tabs for improved filtering.
Navigate to Todos > User management > Executors and edit the desired Executor to grant the 'self-assign todos' permission. Executors can then utilize this functionality within their Executor Portal.
PMS The system now refers to discount campaigns as promotions — All instances of 'discount campaigns' throughout the PMS have been updated to 'promotions'. Discount campaigns renamed to promotions
Costs Cost item labels now display 'per item' instead of 'per piece' — The system now uses 'per item' for cost quantities. This update is visible in the checkout portal and within the PMS for cost item configurations.
Bookings Users with default permission can change the booking channel for back office reservations — Previously, only managers could change booking channels, now all users with default permissions can directly update channels; e.g. for ACSI cards presented at reception.
PMS Support for distinct US and UK English language locales — This replaces the previous generic English locale in the back office.
CMS Recreatheek widget now displays activity images — Images are retrieved directly from the Recreatheek XML feed. This provides a more complete visual representation of the activity program.
CMS Email Campaigns User consent for email campaigns is now managed directly on contact records — User consent for email campaigns is now tracked directly on each user's contact record.
CMS Forms Form responses filter has been upgraded to a searchable, multi-select dropdown — Forms are grouped in the filter by their status: 'In use' or 'Not in use'. This allows you to quickly find and filter responses from the correct forms.
Channels System channels made by PMS prevent contact assignment and changes — System generated channels, such as 'back office' or 'owner', no longer allow new contacts to be added or existing contacts to be changed. This prevents incorrect contact assignments for channels that do not receive invoices.
App Store App Store applications now appear in multiple categories — Apps in the App Store can now be assigned to more than one category.
Payment Providers Klarna payments now accept Danish Krone currency — Klarna payments now support Danish Krone (DKK) as an accepted currency.
Integrations Synchronize Booking.com rate plans from the app UI — A new synchronize button is now available in the rate plan section. When Booking.com rate plans were not created correctly, you can click this button and no longer need manual workarounds.

Four new app integrations, more detailed Datev exports, and Inbox messaging for Vrbo and Expedia.
The new VConnect app by Char syncs PMS data in real time with various hotel systems. It connects hardware like access control, IPTV, PBX, and kiosks directly to Booking Experts. Take a look at Char’s integration page for all available connections.
The integration with the Hotellistat revenue management system is especially relevant for the DACH region. Reservation, occupancy, and rate data flow into Hotellistat to power analytics and automated pricing engines. Optimized prices and restrictions return to Booking Experts automatically on a schedule or via button press.
The Supplied AI app connects Booking Experts to tax compliance infrastructure in Germany. This integration partner allows you to generate required reports like DAC7 and 1099K forms effortlessly. It adds direct reporting capabilities for German authorities alongside existing Dutch tax integrations.
Waive offers your guests several options regarding security deposits or cancellation insurance, directly integrated into your booking flow. You get full protection for your deposit amounts, and the commission on these amounts is additional revenue for you.
The Datev accounting export now provides unaggregated journal transaction records. Each transaction record includes a direct link to its original invoice or receipt.

Accounting Datev export now includes detailed journal transactions — The accounting export API now provides unaggregated journal transactions with linked document details. This allows for more precise data integration with external accounting systems like Datev. You can now connect transactions directly to their corresponding invoices or receipts.
Rentables Fair booking allocation based on average daily revenue — The system now allocates bookings based on average revenue per available day. This prevents new or seasonal accommodations from receiving an unfair share of reservations. It ensures a balanced distribution across all rentable types.
CMS Availability The new availability search now tracks GTM view_item_list event — This update implements the data layer for viewing item lists within the new availability search. It improves data collection for user interactions.
Financials Basic financial permissions can edit all details on draft invoices again — Users with basic financial permissions can edit all details on draft invoices again. This allows them to adjust invoice items, ledger accounts, and VAT codes.
Distribution Activate the new Booking.com property deal for new properties — Property managers can now activate the Booking.com New Property Deal when creating a new property. This deal offers a 20% discount for the first three bookings or 90 days.
Checkout Portal Checkout portal now offers marketing consent options — Users can now easily opt-in to newsletters and personalized ads directly during checkout. These marketing consent options are enabled by default for new organizations (but by default not checked for the booker). This update includes relevant UI changes.
Checkout Portal Checkout portal now displays clear upgrade price calculations — The checkout portal now clearly shows the single price and its calculation for upgrades. This prevents users from seeing only a high total price during checkout. The complete price and calculation is now available in a tooltip.
Todos Reservation vacancy todos now automatically update upon new booking confirmation — Previously, todos for vacant objects were not deleted after a new reservation shortened the vacancy period. The system now automatically removes irrelevant vacancy todos when a new booking is confirmed.
Todos Action logs now display executor names when a todo assignment changes — The action log now clearly displays the specific executor names involved in a todo assignment change. This resolves an issue where only a change was noted without identifying the executors.
Todos Allow deletion of split reservations with associated todos — This update removes a restriction that previously prevented deletion of split reservations with associated todos. You can now delete these reservations without issue.

Feature update

All incoming bookings are now allocated based on average revenue per available day (ARAD). This ensures a balanced distribution across all objects, preventing new or seasonal accommodations within a type from receiving an unfair share of reservations.
ARAD = Total Revenue / Total Available Days
Total Revenue: Includes past revenue and forecasted revenue from existing bookings.
Total Available Days: Only counts days the object was actually open and bookable, within a rolling 24-month window.
Previously, objects within the type that were unavailable for a large part of the calculation window received an unfair share of new reservations until their total revenue caught up with the other objects in the type. By factoring in the total of available days, the goal is now to have all objects within the type earn at the same speed, regardless of when the object was opened for bookings.
The effect of this updated distribution logic will be most noticeable for parks working with seasonal overflow areas and parks expanding with new builds.
Because all objects earn at the same speed, owners who open up their object longer will earn more in total.

Feature update

Expedia is now joining Vrbo as an addition to the Inbox module.
You do not need to activate anything, if you have an existing integration with Expedia the Inbox module will now show any messages from or to Expedia bookers.
Expedia messaging in the inbox module is available for all current and future reservations via this channel. All mail contact of the last three months has been synchronized to show in the Inbox, which aids a seamless transition of communication.

Multiple todo updates, easier management of large group bookings, type-specific owner costs, and more.
Guest and reservation labels as automated todo settings
Add a guest or reservation label filter to automatic todos to automate specific preparations for your visitors, such as arranging a welcome gift for loyal guests. Todos are created based on the presence of the label, and are updated when labels change.
More detailed monthly recurrence in periodic todos
Schedule periodic todos for specific days of the month, such as every first Monday or every last Friday of the month. You can configure this easily by selecting the desired interval and the day of the week.
'After confirmation' scheduling option for reservation todos
Automated reservation todos can be scheduled a specific number of days after a booking is confirmed. The exact todo deadline is calculated automatically. This date is capped at the arrival date, to keep planned todos relevant.
Todo labels shown in detail view and index
Individual todos as well as the index now consistently display all relevant todo labels. These labels are indicators of pet presence, occupied status, changeover day, etc; comprehensive information is now quickly accessible from any view.
Grouping todos by object or facility in the planner
This new filter option allows you to group unassigned todos by object within the todo planning. Organize all items logically by location before assigning them together, ensuring the executor’s list does not require them to travel back and forth a lot.
Managing large group bookings is now faster with single-click actions to check in or check out all reservations simultaneously. The interface displays pre-check warnings for outstanding items and handles invoice creation or meter readings automatically. A new search field also lets you find a specific reservation within the group instantly: search by guest name, object, or license plate.
The booking portal uses standardized purchase and add-to-cart events to ensure accurate reporting across your analytics tools. Revenue calculations now sum individual item lines while excluding deposits and tourist taxes, to align with modern GA4 guidance. These tracking methods apply to completed bookings, late checkout options, amenity selections, and more.
In the owner module, periodic costs can now be configured with different prices depending on type. This removes the need to manually override rates on individual owner agreements. The correct type-specific rate is automatically applied during invoice generation and uses a baseline price as a fallback.
Owner license plate information is now included in exports, and is recognized during import uploads. This resolves a previous limitation and allows for easier bulk updates and streamlined data management.
The template tags for reservation check-in and check-out times have been upgraded to display the full scheduled time range. These tags previously only displayed the specific start time for arrivals and departures.
In the guest portal settings, it is now possible to enable WhatsApp as a a direct communication channel. New organizations in BEX will have this communication feature active by default.
The index page for bundles has an updated design with an improved header, breadcrumbs, and a prominent creation button. The index shows configured channels, types, and whether a coupon is required. Enhanced filtering and smoother drag-and-drop reordering make managing your promotional bundles much faster.
